Bringing AHITI Ndomba onto one system

We have deployed an Institute Management System at AHITI Ndomba — the Animal Health and Industry Training Institute at Ndomba, which sits under Kenya's Ministry of Agriculture and Livestock Development. Six departments that had been keeping their own records now work from one platform.

We started by watching, not by building

The approach was deliberate. Rather than arriving with a finished product and asking the institute to reshape itself around it, we spent the early part of the engagement understanding how AHITI Ndomba actually operates — how a student moves from application to enrolment, where an examination result physically travels, what the finance office needs before it can sign anything off. The system was built to that, not the other way round.

It is a slower way to start and a much faster way to finish. Systems that are designed against real institutional practice do not need the long, painful adoption period that comes when staff are asked to abandon a working process for a worse one.

Six departments, one platform

• Admissions — applications and enrolment tracked end to end
• Student records — one record per student, held centrally
• Examinations — results captured, stored and retrievable
• Finance — fees and institutional accounting in the same system as the student record
• Library — holdings and lending managed alongside everything else
• Reporting — institutional reporting drawn from the same data the institute runs on

The value is not in any single module. It is in the six of them sharing one source of truth, so a question that used to require three offices and a filing room can be answered from one screen.

The moment it became real

During the deployment, the Dean of Students, Mr. Stephen Gachege, pulled up records in seconds that would previously have meant a trip to the archive. That is the moment a system stops being a project and starts being infrastructure — when someone reaches for it without thinking, because it is quicker than the alternative.
